CRM or ERP: where does the sales problem end?
If the issue is missed enquiries, unclear next actions and fragmented customer history, start with the CRM workflow. If purchasing, stock, production and operational records need to agree, evaluate an ERP scope. Connected systems can share these responsibilities. A CRM or ERP label alone does not guarantee a workflow.
Turn symptoms into requirements
Use this for an initial discussion, not as a platform ranking. Define what needs to change for the user.
Scroll horizontally to read the table.
| Symptom | What to test | Evidence |
|---|---|---|
| Enquiries receive no response | Ownership and next actions | A new enquiry has an owner; a manager can see overdue work. |
| Sold goods cannot be found | Reservations, locations and stock movements | A test order shows where the item is and who holds its reservation. |
| Reports need manual consolidation | Consistent metrics and data sources | A reported value can be reconciled with specific source records. |
Takeaway. If no requirement demands a replacement, first evaluate process configuration and integrations.
KeyCRM and Skynum: what should a retailer test?
KeyCRM documentation covers orders, communications, sales sources and deliveries. Skynum presents itself as an ERP for retail and manufacturing and provides an API. This does not mean you need both. Test a complete order lifecycle, including reservation, partial payment and return, against your actual channels and requirements rather than an integration logo.
HubSpot, Pipedrive and Zoho CRM: integration questions
Check how customers, companies and deals map to your business. Official APIs provide data-exchange tools, but an API is not a ready-made connector to every ERP. Compare required fields, relationships, permissions and the limits of the selected plan.
- Can a company be linked to several contacts and deals?
- How are ownership and the next action recorded?
- What must be transferred after a deal is won?
- Can the required history be exported during a future move?
ERPNext and Dynamics 365: specify the product
ERPNext provides integration mechanisms based on Frappe. For Dynamics 365, first identify the application: Sales and Business Central serve different purposes. “Integrate Dynamics” is not a sufficient brief. Specify the application, environment, exchanged objects and permissions. Validate Ukrainian documents and accounting requirements separately for any ERP.
How do you test before buying?
Give each provider the same test data and scenarios. Ask a future user to perform the operations, not just watch a demo. Record what works immediately, what requires configuration and what the selected plan cannot support.
Compare total costs over the same period: licences, migration, training, integration and maintenance. A high average feature score should not hide a failed critical requirement.
- Enquiry → owner → deal or order → outcome.
- A returning customer using another phone number.
- Partial cancellation or return after payment.
- A management report that needs no manual consolidation.
Can you keep the existing CRM?
Yes, if its limitations do not block a critical workflow. Simplifying statuses, agreeing on required fields and ownership, or repairing data exchange may be enough. Routio can review one workflow and define requirements before a migration decision. This list is not a ranking or a claim of official partnership.
